Doc Adding a webcast

(To be updated for Member vs. Non-Member webcasts)

Outline of procedure:

  1.  Upload the webcast files onto the website host
  2. Open two browser windows [B1] and [B2]
  3. Log in to the back-end [B1]
  4. Add the new webcast under Projects / Webcasts
  5. Add the new webcast in the Calendar
  6. Add the new webcast in the list of Events

Detailed steps:

  1. Uploading the webcast files can be done either using FTP to upload files to the Hostmonster server (host address: 74.220.215.58, userid fesausor), in the root directory “webcast”; or by using the file manager in the Joomla back-end of the website.
  2. Start two browsers window, and point one of them to www.fesaus.org/administrator (B1) and the other one to www.fesaus.org (B2).
  3. In [B1], login using your administrator username and password
  4. [B1] To add the new webcast under “Projects ? Webcasts”:
    •    Go to Article Manager
    •    Find Article “Webcasts” (article ID 61)
    •    Edit the article by adding a row at the bottom of the table, entering suitable text, and adding the (relative) hyperlink.  Example: ../webcast/Apr09_PeterMiklavs
    •    When entering the hyperlink, also specify “Target: Open in new window” (at the bottom of the popup window for the hyperlink) and put a title, example “FESAus webcast: Peter Miklavs on Derivation of a resistivity-independent Sw from NMR in a pyrite infested reservoir”
    •    Save and check in [B2] that your update looks fine by reviewing it on the live website
  5. [B1] To add the new webcast in the Calendar, e.g. under “Calendar ? Technical Meetings ? ”:
    •    Go to Components ?  JCalPro ? Manage Events
    •    Click on the Title of the event to be edited, and under “>>MORE INFORMATION Watch the webcast of this event <<”
    •    Now select the text “>> Watch the webcast of this event <<” and add the (relative) hyperlink.  Example: ../webcast/Apr09_PeterMiklavs
    •    When entering the hyperlink, also specify “Target: Open in new window” (at the bottom of the popup window for the hyperlink) and put a title, example “FESAus webcast: Peter Miklavs on Derivation of a resistivity-independent Sw from NMR in a pyrite infested reservoir”
    •    Save and check in [B2] that your update looks fine by reviewing it on the live website
    •    When doing so, click on “>>MORE INFORMATION <<” and note the event id of the event in your browser’s address bar.
  6. To add the new webcast in the list of Events, e.g. under “Calendar ? Technical Meetings ? ? >>MORE INFORMATION <<”
    •    Go to Components CiviCRM CiviEvent
    •    Find the event with the id you determined.  Example: for Peter Miklavs’, it’s event id = 7 and for Matthew Josh’s,  it’s # 19.
    •    Click on “Configure” then “Event Information and Settings”.  At the bottom of the “Complete Description” window, add “WEBCAST of this event now available to FESAus Members HERE”.
    •    Highlight the word “HERE” and add the (relative) hyperlink.  Example: ../webcast/Apr09_PeterMiklavs.  Under the tab “Target”, select “New Window”.  Select “OK”.
    •    Save and check in [B2] that your update looks fine by reviewing it on the live website
    •    Click on “Event Fees”.  If this has not already been done, set “Paid Event” to “no”.  this disables online payment, since the event is now past.  Once done, save.  If it was already done, simply Cancel.

Caveats:

  • Later there may be a different page to edit for members vs. non-members, the idea being that members can see all the webcasts, while anyone not logged on as a member can only see webcasts that are >= 1 year old.
  • This is only for Committee members with website admnistation privileges.  Other Committee members will not have access to the “back end” of our website.  If you don’t have such privileges but feel that you should, please contact the webmasters
